What is an AI chief of staff?

An AI chief of staff is an AI assistant, or a small team of AI agents, that knows your calendar, your inbox and your to-do list. It triages messages, preps the day, drafts documents and keeps track of what actually matters, and you still decide what goes out.

I run my own on 17 AI agents and one board, and I teach people to build theirs.

Executive assistants and chiefs of staff have always been a perk of executives. The New York Times reported in August 2026 that CEOs who rely on a chief of staff argue AI can't replace the judgment and relationships the role brings, and for executives that may be right. For everyone else, the small business owner, the parent running a household, the solo professional, the person between jobs, an AI chief of staff is the only one they'll ever have. You can start one on a free plan, and it's better than nothing by a mile. (Demand at the top is real: Bloomberg reported in July that chief of staff postings more than doubled last year, with pay up to $400,000, citing Revelio Labs.)

What does an AI chief of staff do in a day?

It gathers everything asking for your attention into one place, preps the day, drafts what needs drafting, and keeps track of what's still to do until it's done. On my own system, a day looks like this:

  • Everything lands in one place. Emails, texts, invites and alerts from three calendars go to Rory, my chief of staff agent, and end up on one board.
  • The day comes prepped. A morning brief builds itself before I wake up, so the day starts with what matters instead of with the inbox.
  • Meetings come with a brief. Before an intro call, Claude sends me a short note on who I'm about to meet, with a few questions to open with.
  • Finished work comes with proof. Work moves to done with proof attached, so nothing gets dropped.
  • The rest of life runs through it too. My agents handle my calendar, my ventures and my house, and report to one supervisor.

My mornings go to creativity and strategy. Watch the board run on the homepage →

What does an AI chief of staff do in a week?

Across a week, an AI chief of staff runs on a schedule: a brief every morning and a close every evening, prep before meetings, weekly reports, a review of what actually got done, and a plan for the week ahead. On my system, it looks like this:

  • Every morning and evening. A brief is waiting before I'm up, and an evening run closes the day and previews tomorrow.
  • Before every intro call. Within the hour of a booking, a short brief on who I'm about to meet lands in my inbox.
  • Monday. The week's numbers for each of my websites are pulled, checked and written to one place.
  • Friday. A marketing report across my sites, and a review of the week: what I got done, what I said I'd do and didn't, and anything that's been sitting for more than a week.
  • Sunday. The week ahead on one page.
  • All week. Agents post a line to a shared change feed whenever they change something the others need to know, and finished work moves to done with proof.

Seventeen agents share that work, each owning one job. See how the system is organized →

What does an AI chief of staff never do?

It never sends anything in your name without your eyes on it. AI drafts, you send: every email, every post, every quote, no matter how good the drafts get.

  • It never sees what you didn't grant. Connectors are permissions you give and can take back, and some things never go in: customer personal details, financial credentials, anything a lawyer is involved in.
  • It never gets trusted all at once. Trust is earned per task. A workflow proves itself five times before you stop checking every line, and you keep checking now and then, forever.

These are the three rules from the 30-Day AI Starter Plan. On my own system they're set in the tools' permission settings, as well as written in the instructions. How the guardrails work →

How do you build an AI chief of staff?

Start with one AI assistant: give it standing context about you, connect your email and calendar so it can read them, have it brief you every morning, teach it one recurring task, and close each day with it. Then write the rules for what it may never do, put it on a schedule, and add more agents only when one assistant is doing too many jobs.

Do you need to code to build an AI chief of staff?

No. The free 30-Day AI Starter Plan builds one with no code, and setting up the first version takes about twenty minutes: give it standing context in week one, connect your email and calendar in week two, automate one task in week three, and close out each day in week four.

What tools does an AI chief of staff run on?

A first version needs one AI assistant with Projects and connectors, plus your existing email and calendar. Claude's free plan includes both, so you can start without paying; the Pro plan, about $20 a month, adds more usage and scheduled tasks. My own system runs on paid tools: Claude Code for the scheduled agents, with Notion as the record.

Who is an AI chief of staff for?

It's for people managing a lot at once, not only executives: small business owners, founders, parents running a household, solo professionals, and people between jobs. If your email, your calendar and your to-do list are all on you, it's for you.

I built mine because my own inbox was the biggest pain point I had, with three kids' schedules, four product builds, client work and a community group landing in email, texts and three calendars. The people I teach are owners, consultants, coaches, realtors and freelancers. Why AI makes this kind of support available to everyone →

Is an AI chief of staff the same as an executive assistant?

No. An AI chief of staff handles the information work around your day, triage, briefs, drafts and follow-up, at any hour. A human executive assistant brings relationships, judgment and presence, and can act on your behalf. Many people need the AI version first.
